Confidentiality and Data Storage

I’m offering an integrative counselling and psychotherapy service. I work within the British Association for Counselling and Psychotherapy’s Ethical Framework, and within legal requirements. This means that whatever you would like to talk about remains confidential, with the following limits:

  • Safeguarding concerns about children or vulnerable adults
  • Money laundering
  • Terrorist activity or plans
  • Human or drug trafficking
  • Risk of harm to yourself or to someone else.

Wherever possible, I will discuss any breaches of confidentiality with you first, unless I am legally obligated to report first (this is usually related to issues with terrorism, trafficking, or money laundering).

I also attend regular supervision by a qualified supervisor, according to BACP requirements. My supervisor is also bound by confidentiality, and all identifying information is anonymised. Supervision is used to ensure that I am able to work to my best capability with all my clients, and help me to think about the best ways to walk alongside my clients during their processes of change.

I keep notes on sessions in a physical book, but all client details are anonymised and the book, when it is not in use by me, is always kept in a locked filing cabinet, to which only I have the key. Session note copies are available upon request for up to 7 years after you have finished your sessions with me. At that point, they are securely destroyed.

I also write down session times and days in a work diary – only initials are used, and no other client information is stored in the diary.

What You Can Expect From Me

A calm, warm acceptance of whatever you have to say, with no judgement. I will keep the focus on what’s best for you in our sessions, offering an outside perspective on whatever you bring to discuss and helping you on your own journey to understanding yourself. It is important to me that you feel heard, accepted, and cared for in our sessions. I am also always open to discuss how you may be feeling about our work together and if there are any problems. Additionally, I also offer calming visualisation exercises in sessions and can help you learn to use them effectively in your own day-to-day life.

Payment is taken on the same day, either by bank transfer, or PayPal (cash will be accepted when I am able to offer face to face counselling). If I have not received payment within 36 hours of the most recent session, I will contact you either by phone, text, or email, according to your preference. If I do not hear back from you or receive payment within 48 hours of my contact, I will contact you once more to discuss payment options. If I still cannot get in touch with you, the following session will be cancelled. You are always free to contact me to get it straightened out, and I am very willing to discuss flexible payment options, and of course you can always return if you wish.

If you need to cancel the session, please just get in touch. As long as the cancellation is more than 24 hours in advance, you will not be charged. If you cancel at short notice, please let me know if there are any extenuating circumstances, otherwise you will be charged as I have set aside that time for you.

All session dates and times will be arranged to be mutually convenient based on both counsellor and client availability.

You are free to end our counselling relationship at any time. It is generally a good idea to have a final session to reflect on our time together and close out our time, but it is not required. If for whatever reason, I am unable to provide counselling, you will be notified as far in advance as possible, ideally one month. I will also provide referral options to other counsellors who I think may fit well with you if necessary.
